Consultation Management Services and Roles and Responsibilities of the Operational Advisory Board
Oversee and Assess Clinical Services with Clinical Operational Lead/Medical Directors:
1. Monitor staff competencies, patient experience and patient flow.
2. Design and implement, along with Medical Directors, process improvement strategies to improve and optimize these areas.
3. Ensure APP providers and staff are aware of and compliant with organizational, and medical staff policies such as vaccine storage, medication administration logs, staff huddles, and so on.
4. Address questions or concerns of the APPs and medical staff or other members of the clinical team as it relates to the medical care issues.
5. Coordinate helping staffing and scheduling of APPs.
6. Attend operational bimonthly meetings on Tuesdays.
7. Monitor regulatory issues and ensure ongoing regulatory compliance.
8. Participate in risk management activities and take point on management of staff safety, exposure and injury protocols and documentation.
9. Work with APP staff to identify and mitigate areas of high risk.
Oversee and Assist Practice Management Responsibilities:
1. Oversee aspects of day-to-day practice management
2. Offsite administrative management support
3. Practice management with onsite presence as needed
4. Coordinate practice healthcare related promotion programs.
5. Monitor practice operational efficiency & suggest improvements
6. Assisting with ERH implementation and utilization.
Assist and Oversee Practice Staffing Responsibilities:
1. Assessing and identifying staffing patterns and needs
2. Recruiting, interviewing, and securing providers and support staffing.
3. Assist On-boarding new staff including providers.
4. Assist practice with possible staffing scheduling alternatives as needed
Assist and Oversee HR and Benefits Management:
1. Oversee on-site personnel performance
2. Assist in orientation of new employees
3. Maintain employee personnel files
• Write/maintain Policies & Procedures Manual
• Write/maintain Employee Handbook
• Write/periodically revise workflows and job descriptions
4. Manage verification of past employment & salary issues
5. Problem resolution
6. Assist practice with hiring/firing decisions support, and employee relations
7. Assist with OSHA, CLIA, CMS, HIPAA compliance issues
8. Assist with managing insurance vendor selection & relationship:

9. Assist personnel with benefits enrollment and changes

Oversee and Assist in Practice Complaint Management:
1. Assist practice in researching & resolving patient complaints
2. Assist practice in researching & resolving all vendor complaints
Oversee and Assist Practice Development and Growth Responsibilities:
1. Assist practice with strategic planning process
2. Assist practice with mission/vision development process
3. Assist practice with implementation of strategic plan
4. KPI management
5. Business growth – real estate acquisitions, construction, mergers, lease negotiations, and site start ups
Oversee and Assist Financial Integrity System:
1. Implement system for authorized signer to prepare checks to pay all practice expenses
2. Track, analyze & report practice expenses
3. Maintain expense audit trail
4. Manage authorization & payment of expenses
5. Manage vendor selection & financial relationships
6. Implement budget policy for financial controls
Oversee and Assist Cash Collection Management:
1. Institute & oversee cash collection & deposit management system
2. Implement tracking system to reconcile payment and charges with billing company
3. Implement daily and monthly staff reporting and reconciliation processes.
Oversee and Assist Financial Reporting:
1. Compile, analyze & report monthly patient visit volumes by provider, location, & group
2. Compile, analyze & report charge and collections by provider, location & group
3. Compile, analyze & report on a monthly basis in accordance with generally accepted accounting principles (GAAP)
a. Income statement (P&L)
b. Statement of cash flows
c. Statement of financial condition (balance sheet)
d. Budget statement
Oversee and Assist Provider Compensation:
1. Assist with the development and implementation of incentive-based compensation plan
2. Calculate provider compensation monthly in accordance with plan
3. Review provider productivity
4. Review and track bi-weekly or semi-monthly payroll checks
5. Assist and coordinate direct deposit checks, payroll deductions & garnishments with payroll company
6. Coordinate 401(k) withholding & funds transfer with payroll company.
Oversee and Assist Retirement Plans (if applicable):
1. Assist in developing retirement plan that matches group’s philosophy
2. Assist in ongoing analysis of retirement plan objectives & costs
3. Prepare company retirement plan accruals monthly Monitoring and Tracking
Oversee and Assist Billing and Collections:
1. Coordinate account audit with prospective billers.
2. Compile and analyze account Audit results
3. Assist in the evaluation of billing team production
4. Assist in establishing and periodically updating practice fee schedule & charge designation sheets
5. Monthly reporting on billing activity
a. Facilitate incentive-based compensation calculation
b. Benchmarking all aspects of billing performance
c. Monitor coding by E&M utilization and reimbursement of Non-E&M CPT code utilization benchmarking by provider
Monitor Collection Proficiency of Billing Company by Payor Analysis:
1. Coordinate, compile, and analyze independent coding audit(s) on a periodic basis
2. Implement charge capturing and accountability processes.
3. Assist with provider documentation & coding education
4. Review appropriateness of patient refund payments prepared or requested by third party payers.
5. Conduct meetings with revenue team to assess progress.
Oversee Credentialing Services:
1. Confirm current credentialing status with credentialing specialists.
2. Secure all credentialing related paperwork from providers and carriers
3. Process group and individual provider enrollments
4. Coordinate new malpractice insurance application & coverage
5. Confirm PDMP enrollment for providers
6. Assist in scheduling orientation.
Oversee and Assist Social Media/ Marketing Services:
1. Make one online posting to one (1) social media platform per week up to 4 posts per month.
2. Management of online partner platform such as Podium, Google SEO marketing, etc.
3. Coordinate community-based events such as walkathons, school benefits, blood drives, etc.
